Outlook has a feature for quickly suggesting a meeting in reply to an email.

Open an email you have received. In the Respond group, click on the Meeting button. Enter your date, time, and location. The proceeding email chain will be included below, and the sender of the original email will be automatically invited.

Outlook: Quickly Finding Related Messages

Can't find that one email in your list of replies that you need? If you find any message in your email chain, you can quickly group and find any others that were related (based on subject), by using this trick.

  1. Right-click on an email from your Inbox that has more than one email in the string
  2. Choose Find Related, then Messages in This Conversation which will display the list of results with the queried info highlighted in yellow
  3. All emails with the same subject will be listed. By double-clicking on any of them, the email can be opened.

Outlook 2010: Calendar Groups

In Outlook 2010 you can create groups for your shared calendars which will allow you to more easily select all calendars in a group to view them, as well as allow you to contract and expand the groups to save space, if you have a lot of calendars.

There is a way to do this in the newer versions of Word, it is just not set up by default. Follow these steps to turn it on:

  1. In your Outlook Calendar, on the Home tab, in the Manage Calendars group, click Calendar Groups, and then click Create New Calendar Group.
  2. Type a name for the new calendar group, and then click OK.
  3. Under Address Book, choose the Address Book or Contact list from which you want to pick members of your group.
  4. Browse for names or type them in the Search box, click the name that you want and then click Group Members. Repeat this step for each calendar that you want to include in the group, and then click OK.

Note that if you do not have rights to view someone's calendar, they won't be available to add to the group.

Outlook 2007,2010: Ignore Conversations

Outlook's Conversation View groups messages and their replies under a single heading so that you can easily follow the string of emails that have the same Subject. When emails are replied to again and again, the same message can appear in each Reply.

To delete repeated messages in the Conversation, you can use the Clean Up Conversation tool on the Home tab in the Delete group. Outlook will remove all of the repetitive quoted parts of the messages.

To delete the entire existing Conversation, as well as all future message with the same Subject, you can use the Ignore tool. Outlook will move the existing thread and all future messages to the Deleted Items folder.

Time Management

We're all running out of time

Time management has become a huge challenge for many people, as most of us are dealing with a deluge of information and work.
